Located on the first floor of Francis Hall in Room 130, the Office of the Registrar at Quincy University supports students, faculty, and staff by maintaining accurate academic records and upholding the integrity of the University’s academic policies. The office plays a central role in the academic lifecycle by assisting with course registration, transcripts, enrollment verification, FERPA compliance, degree completion, and diploma processing—helping ensure a smooth and well-documented academic experience.

The Office of the Registrar provides a wide range of academic and record-related services, including processing legal name and address changes; evaluating and posting transfer, CARE, and exam-based credit (AP, CLEP, and IB); managing FERPA permissions; verifying enrollment and issuing good student discount forms; reviewing degree audits and confirming graduation eligibility; posting degrees and issuing diplomas; preparing course offering and final exam schedules; granting advance approval for transfer coursework; issuing official and unofficial transcripts; and maintaining and enforcing academic policies.

The Registrar’s Office at Quincy University is a member of AACRAO (American Association of Collegiate Registrars and Admissions Officers).

Academic Calendar

The Academic Calendar outlines the official schedule of important dates and deadlines for the academic year. It includes semester start and end dates, registration periods, holidays and breaks, exam schedules, and other key milestones to help students, faculty, and staff plan and stay informed throughout the year.

Apostille Services

Students and Alumni may request an official copy of their diploma or transcripts to be processed for Apostille Authentication through the Registrar’s Office.  Information for the Apostille Process can be found at Apostilles and Certifications on the State of Illinois Website.  The requester will complete the form from one of the links below.

Once the order is received, the requester will be notified when processing is complete and will be issued a tracking number.  The requester is responsible for submitting the documents to the State of Illinois for the Apostille Authentication Service.

Apply to Graduate

Applying to graduate is an important step toward earning your degree. Submitting your graduation application lets the University review your academic record and confirm your degree requirements.

  • Log in to the QU portal (my.quincy.edu)
  • Click on the Students tab at the top of the page.
  • Click Student Forms on the left side of that page.
  • Find the Application for Graduation and fill it out.

Course Registration

Students register for courses based on the number of hours they have completed at the end of the previous term. Students must meet with their academic advisor to receive authorization before they can register for courses on their own through the student portal.

  • Course Search – review the offered courses for the upcoming semester(s) by using the feature in the QU portal.  Students can search by title, course code, division, and more.
Degree and Enrollment Verification

Quincy University has authorized National Student Clearinghouse (NSC) as the official provider of certification reports for student enrollment and degree verifications.  Additional information on enrollment or degree verification for students, alumni, and employers is available on Degree and Enrollment Verification.

Diplomas

Replacement and duplicate diplomas can be ordered for $50 per diploma.

First, complete the Diploma Replacement Request Form.  Next, print the confirmation email you receive and mail it back with your check or money order made payable to Quincy University.

Upon verification of all submitted information, the University will process the request. Requests that do not match institutional records are subject to institutional review and may require additional documentation. Replacement diplomas are printed during the next scheduled diploma production cycle (typically three times per year). If you have not received your diploma by the end of February, July, or October, please contact registrar@quincy.edu.

Dual Credit Program and Registration

Quincy University’s Dual Credit program gives high school students the opportunity to earn college credit while still in high school. By enrolling in approved Quincy University courses taught at the high school level, students can get a head start on their college education, explore academic interests, and reduce the cost and time to complete a college degree. Dual Credit courses offer the same academic rigor and standards as courses taught on Quincy University’s campus, helping students prepare for a successful transition to college.

 

Family Educational Rights and Privacy Act of 1974 (FERPA)

The Family Educational Rights and Privacy Act of 1974 (FERPA), as amended, is a federal law that protects the privacy of student education records.  It is also known as the Buckley Amendment.  In compliance with FERPA, Quincy University sends an annual notification of a student’s rights under FERPA to the campus email address of enrolled students.

Transcripts

Transcripts provide an official record of your academic work at Quincy University and are often required for employment, graduate school, scholarships, or professional licensure.
